Vacation cost calculator
Employees get paid to be at the beach; you pay to be there twice, the trip plus every hour you do not bill. This computes the honest total, not to talk you out of resting, but so the number stops being a vague dread.

The formula
True cost = trip spending + (days × daily billables × rate) + fixed monthly ÷ 30 × days. The revenue term dominates: for most freelancers the trip is the cheap part.
What this ignores
The return on rest (burnout costs more than any vacation), clients lost to slow replies (mitigate with notice and an autoresponder), and retainers that keep paying while you are away, which is exactly their charm.
FAQ
- This number makes vacations feel impossible. Now what?
- Price them in: divide your yearly vacation cost by your billable hours and it becomes a couple of dollars on your rate. Clients fund employees' vacations through salaries; yours fund them through your rate, but only if you set it that way.
- How do freelancers take time off without losing clients?
- Notice beats absence: tell active clients 2-3 weeks ahead, close loops before leaving, set a clear autoresponder with your return date. Clients handle planned absence fine; what burns them is surprise silence.
- Are trip costs deductible if I work a bit while away?
- Mostly no: personal trips stay personal even with some laptop time. Genuine business travel (client visits, conferences) has deductible components. Do not let a deduction fantasy design your holiday.
